Setting Up Your Seating Plan [Tutorial]


ADDING TABLES

  1. Click Seating Plan on the navigation menu.
  2. Click +Add Table
  3. Select how many tables to add and how many seats for each table.
    • Ex. Add 10 table(s) with 10 seats each .
  4. You can add varying tables with different number of seats depending on your need.
    • Ex. 20 seats for 1 Presidential/VIP table

CHANGE TABLE NAME

  1. Click Seating Plan on the navigation menu.
  2. Click on the table name. 
    • Ex. Table 01
  3. Edit name.
    • Ex. Groom's Family

CHANGE EXISTING NUMBER OF SEATS IN A TABLE

  1. Click Seating Plan on the navigation menu.
  2. Click on the table name. 
    • Ex. Table 01
  3. Change Capacity to desired number of seats. 

REMOVING TABLES

  1. Click Seating Plan on the navigation menu.
  2. Go to the table you want to remove. Make sure table is empty. 
  3. Click on table header
    • Ex. Table 01
  4. Click Remove table at the bottom  

VIEW BY TAGS OR RSVP STATUS

When you import or add guests into Guestlist, you can add tags to easily categorise guests. Viewing by tags in Seating Plan allows you to see only the guests that used the specified tag. This makes it easier for you to click and drop them into their assigned table.

  1. To view by tags, click All tags beside the number of guests
  2. Choose the tag you wish to show. Only the guests that used that tag will appear in the guest list panel. 
    • Ex. Choosing 'Bride’s Family’ will only show guests that used this tag

 To further funnel the guests before placing them into a table, you can view them by RSVP status to show who is attending your event.

  1. To view guests by RSVP Status, click All Statuses beside All tags
  2. Choose the RSVP status you wish to show. Only the guests with selected RSVP status will appear in the guest list panel.  
    1. Ex. Choose ‘Attending’ to show only the guests you should place on a table. 

 

PLACING GUESTS INTO A TABLE

  1. On the guestlist panel in the Seating Plan page, click on the guest(s) you want to place on a table. To select multiple guests, shift+click the names of the guests.
  2. When a guest name or names are selected, you can place them on a table by either selecting the table from the drop down that will appear and click Move OR go to the created table and click Move Here. Guests’ tags are indicated under their name and can be used as reference for the table they will be placed in.

 

SEARCHING FOR GUESTS

  1. Click on the magnifying glass on the upper right hand of the screen
  2. Type the name of the guest you wish to search for
  3. Search results will appear in the guest list panel

 

SORTING TABLE BY NAME, SEATS AVAILABLE OR DATE CREATED

  1. To view table by order of preference, click on the button indicated Table name beside Sort by:
  2. Choose Table Name to view tables by the alphabetical order of their names.
  3. Choose Seats Available to view the tables with most seats available first.
  4. Choose Date Created to view tables in the order of which they were created.

 

EXPORTING TABLES

  1. Click the three dots on the upper right part of the screen.
  2. Click Export Tables.
  3. Choose Export CSV file if you wish to save in .csv (comma-separated-values) format.
  4. Choose Export Excel file if you wish to save in Excel format.
  5. Choose the file destination you wish to save the exported seating plan to and click Save.

MOVE GUESTS TO A DIFFERENT TABLE/ UNSEATING GUESTS

  1. Choose the guest(s) you wish to move to another table. To move multiple guests, shift-click the names of the guests
  2. When a guest name or names are selected, you can move them to a different table by either selecting the destination table or Unseated from the drop down that will appear and click Move OR go to the created table and click Move Here. Guests’ tags are indicated under their name and can be used as reference for the table they should be moved to.
